1. Turn a warehouse and product line ON and OFF.
    1. First get multi-bin supervisor rights under Library Master – Role Maint – Security Events – Inventory.  Click ON the Multi-bin Enable Supervisor.  The reason is – supervisor rights are required to proceed the warnings that there are open transactions in the system and the supervisor is responsible enough to know there are no open transactions for the warehouse or product line you are changing.
    2. Under inventory setup menu – select warehouse code and product line maint.  Click the multi-bin button in the left corner.  You can click the check box to disable or enable. 
    3. The system will prompt to initialize or remove records for the selection.  It knows what needs to be done so it’s best to proceed all the way thru.  
  2. What are the procedures to go live (i.e., turn on Multi-bin)
    1. Its best to prepare in a test company in Sage.  You will need to prepare for the changes in how you do inventory transactions in Sage.  Typically users who do Lot Serial transactions currently will adapt best/fastest because their operations do distributions (balanced) in all transactions.
    2. Businesses with multiple warehouses – consider enabling one warehouse initially to get used to the system and changes to procedures.
    3. Decide what how an accurate Quantity on Hand will be setup in the system.  60% users will do a full physical count by bin locations.  Others will do counts by sections of the warehouse while the system is ON.  All inventory is initialized to a single location and that location will be selected until the location is counted.  Select the actual location when the location has been counted and updated in the system.  That can be done with inventory transfers or physical count.
    4. All transactions need to be updated/cleared because the system will check.
    5. When you are ready to turn ON the system – you can run the setup wizard under inventory – setup menu and select Scanco Multi-bin Warehouse Mgmt Options.
  3. How to start up QOH in locations when the user doesn’t want to do a physical count
    1. It is recommended to not take too long to do the entire count.  Perhaps less than a month.
    2. Businesses which don’t do an accurate count and retaining an accurate system will start over.  It can be a good plan to run with the system and plan on doing a full physical in 3 months.
    3. Do counts by sections of the warehouse while the system is ON.  All inventory is initialized to a single location and that location will be selected until the location is counted.  Select the actual location when the location has been counted and updated in the system.  That can be done with inventory transfers or physical count.
  4. How to setup bin locations and what are region codes used for
    1. Usually businesses requiring hundreds and thousands of locations will import them.
    2. The setup wizard will prompt you to auto create the Primary Locations from the locations setup in Sage.  Some users will wash the locations in Sage prior to doing this.  This is the location in the IM_ItemWarehouse file if you want to import.  The Overflow locations will not be in Sage so Overflow locations will need to be imported/entered.
    3. Required fields to import is WarehouseCode and BinLocation.
    4. The system will default the LocationType to “P” for Pick locations.  For Standard users this usually be sufficient to get started.  Overflow locations (LocationType=”V”) will be required/best when doing replenishments and when a Premium user will do auto allocations.
    5. Staging locations (LocationType=”S”) are defaulted during the setup wizard in the warehouse.
    6. It is usually recommended to designate the bin location capacities later after the user gets a handle on maintaining a good quantity on hand and their sales/picking operations.  So it is recommended to worry about the capacity options in the locations after a few months unless it is an immediate concern by the user.
    7. Region designations can be done later.  Regions provide default options for bin location capacities, picking and putaway.   Wave batch picking can organize picks by the region.  Here they can be organized by zones/or sections in the warehouse and handheld pickers can pick for the items in their section.  Directed putaway settings can be defaulted fastest/best when the same sized locations are within the region.  When importing regions for locations, create the region codes first in region code maintenance and then assign the region field in the location.
  5. How to grant rights to quick transfer
    1. Select Role Maintenance – Security Events – Inventory.  Grant the Multi-bin Location Quick Transfer right.  The quick transfer button will be disabled if not granted.
    2. This will allow users to do the quick transfer screens in the Multi-bin Inventory Dashboard, Item Maintenance, Bin Location Maintenance, Pallet ID Maintenance. 
    3. Users with only Inventory Inquiry rights can do quick transfers with these rights.
  6. How to transfer inventory out of a pallet and into another
    1. Be in a screen where you have the Quick Transfer button.  
    2. Palleted inventory consolidates the same items in the ID on the screen.  The Sum checkbox In the upper right hand side of the screen will allow you to flip to and from the Detail display on the screen.  Here the same items in the ID are broken out by Lot and Serial Number.
    3. When in the Summarized Mode – select the Palleted inventory to transfer and click the transfer button.  All inventory in the ID is displayed in the bottom grid.  Check mark the item to transfer and then select the destination location or Pallet ID on the top of the screen and click the transfer button.
    4. When in the Detailed Mode – select the individual item you want to transfer and then click the transfer button.  The item will be checked and defaulted to transfer.  Here you will only need to select the destination location or Pallet ID on the top of the screen and the transfer button.
    5. If doing transfers from the Dashboard or Bin Location Maintenance users can select multiple items using the windows Ctrl-Click and Shift-Click.
  7. Why does inventory allocate from certain locations vs what was anticipated.
    1. Review settings in the Primary bin location setup screen in Item Maint and the Directed Picking tab in Scanco Multi-bin Options. 
    2. Directed Picking options are generally obvious to the user and those options/priorities are what the user will normally expect.  You can’t assume other users will not know.
    3. Check if there are primary locations in the Primary setup screen and primaries are designated and noticeable on the inventory screen.
    4. Allocating from overflow locations check the minimum quantity to allocate from Overflow and Case Pack quantity from Overflow fields in the Primary setup screen will throw even the informed user. 
    5. For destination locations Directed Putaway and Replenishment be sure to also review the Batch options screen.  Also be sure to know if an Allocation Override was selected in the sales order. 
  8. Why doesn't an item auto allocate for a sales order
    1. View Multi-bin QOH in the Item Maintenance – Multi-bin Tab and review the Directed Picking Options in Scanco Multi-bin Options.
    2. Check inventory if there is Quantity Available in valid LocationTypes selected to allocate.  Allocable inventory available to allocate is the QuantityOnHand less the Quantity Allocated. 
    3. Directed Picking options can designate where inventory can be only allocated from the Primary Location and from only certain location types.  An obvious location type which is usually disabled is Staging.
    4. When the QuantityAllocated in Item Maint – Multi-bin Tab is wrong this will deter allocations.  You can fix these by running the Inventory – Utilities – Multi-bin Recalculate Quantity Allocated utility OR you can have Multi-bin Supervisor right and use the Adjust button in Bin Location Maint.  Select the item and click the Adjust button in the bottom left hand corner.
    5. Was the Allocation Override selected in the Sales Order and are those settings trying to allocate from a location or location without availability.
  9. QOH difference between Sage vs Multibin.
    1. The user will notice the total quantity on hand in Item Maint/Main tab will not match the QuantityOnHand on the Inventory – Multi-bin tab.
    2. Run the Inventory – Utilities – Multi-bin Reconciliation.  Select a warehouse code and calculate.  Variances from Sage and Multi-bin are displayed on the screen.  A blank screen means there are no variances.  If the item is then Lotted inventory – check if the Multi-bin tab reconciles to the Item Maint – Cost Detail tab.  Small variances for decimal quantities sometimes occurs for manufacturers and where the user has complex unit of measure conversions.  Significant variances should be cleaned up and then reviewed later.  A lot of differences means the user didn’t Initialize inventory when they enabled the warehouse.
    3. Double clicking on the line in the Reconciliation screen – the user will select the bin location to reconcile inventory.
    4. When a Multi-bin Supervisor – Bin Location Maintenance provides an adjustment where the user can override the QuantityOnHand and Quantity Allocated.
  10. QOH Lot tier doesn't match QOH on item maint main tab (which is QOH by whse)
    1. Here the user will say the QuantityOnHand for Multi-bin doesn’t match the quantity on hand for the item.  The user in this situation is usually looking at the Item Maint – Main tab and the Item Maint – Multi-bin tab.
    2. If the item is Lot Serial valuation – compare the Item Maint-Multi-bin Tab to the Cost Detail Tab.  If those quantities match that means the users variance is really in stock Sage between the Item Maint main tab and the cost detail.  Multi-bin inventory for Lot Serial valuations always reconciles to the Cost Detail.
    3. Sage provides a utility to help clean up its QuantityOnHand for the warehouse for Lot Serials under the File-Run *UTL.  Another way for the user to change QOH for the warehouse is using the Sage Data File Display for the IM_ItemWarehouse file.
